Building Materials & Ceramics
Supplier and freight bills go unmatched against what was agreed. Price drift, duplicate payments, quantity and tax mismatches and missed rebates leak quietly; freight especially, where the lorry receipt is rarely matched to the invoice and the agreed lane rate. The firm's view of a dealer's balance and the dealer's view never quite agree, aging and credit exposure are unclear, and scheme liability is guessed rather than computed. Two boxes of the "same" SKU can differ by shade batch and caliber, and a mixed lot at the site becomes a complaint and a return; tracing a shade complaint back is a guess. Gas and power are a top cost (a large share of variable cost in ceramics), but cost per good square metre by kiln and shift only shows up on the monthly bill, and downgrade, scrap, breakage and freight are never pulled into one figure. Stock across thousands of SKUs piles up in dead shades and slow series, locking cash, while the challan, lorry receipt, e-way bill and dealer gate-inward rarely all agree and depot/C&F stock is murky. Heavy, fragile product means transit breakage drives real loss and breakage-claims, but breakage is not captured by route, transporter and packaging, so the worst lanes and specs are never fixed.
Who has it
Every segment buys raw material and freight against agreed rates, so unmatched bills leak everywhere; freight is the largest exposure for Cement, AAC block & RMC producers and Marble, granite & stone processors, whose heavy, weight-based product makes a few rupees of lane drift large money per tonne.
What we build
A purchase-order vs goods-received vs invoice three-way match flagging every variance, with special attention to freight: the lorry receipt matched to the invoice and the agreed rate, lane by lane. One continuously reconciled dealer ledger, an aging and credit-exposure monitor, automated statements and reminders, and a scheme liability computed from what was actually earned, so true margin after schemes is visible by dealer, region and series. We tag every production lot with its shade batch and caliber and trace it through dispatch, so a shade complaint is a quick query, and we rank the worst kilns, bodies and recipes for the quality head to fix. Energy cost per good square metre by kiln and shift, with an alert when a kiln draws abnormally, plus one cost-of-poor-quality figure pulling downgrade loss, scrap, breakage and freight together by series. We flag fast-SKU stock-out risk and slow-and-dead stock, reconcile the challan, lorry receipt, e-way bill and dealer gate-inward end to end, and tie out stock held at depots and C&F agents. Capture of breakage by route, transporter and packaging, a root-cause ranking, and a fix list for the worst lanes and packaging specs.
What is automated, where AI helps, who signs off
The reliable spine
The reliable spine is non-AI workflow, arithmetic, integrations, approvals and reporting for procurement.
Where AI helps
AI is limited to bounded reading, extraction, matching, clustering or drafting from the firm's own data for procurement; it never owns the number, the approval, the promise or the decision.
Who signs off
A named person signs off anything touching money, stock, a customer promise, a regulated filing, a payment, a price, a credit decision or a people decision.
What changes day to day
Price drift, duplicate billing and unmatched freight stop leaking quietly: every supplier and freight bill is matched to its own purchase order and lorry receipt before it is paid, the worst lanes and packaging specs surface as a fix list, and the recovered rupees are auditable line by line.
Illustrative outcome
A maker recovers a meaningful first-year number through caught price drift, duplicate billing and unmatched freight, with first-grade yield lifting by about two points as the quality story becomes visible, every rupee auditable to its own purchase orders and lorry receipts. Illustrative; final numbers come from your own data.
